About Capping an Event
You may ask students to pre-register for an event that is taking place in the future, for example a presentation, dinner or webinar. For these events there are some options to help you manage the guest list.
Stop Collecting Registrations
It might be the case that you need to provide a list of pre-registrations to reception/a venue prior to the event, which means you need to form to stop accepting records at a certain time. In the Basic Info tab you can do this by:
- Go to the heading “Stop Collecting Registrations at”
- Select the date you would like the form to stop collecting registrations
- Select the time you would like the form to stop collecting registrations - please note this is set Europe/London time zone
Maximum Number of Registrations
For some in-person events, you might only have a certain number of spaces. In which case you don’t want the event to be oversubscribed and will need to cap the number of pre-registrations the form accepts. In the Basic Info tab you can do this by:
- Go to the heading “Max Number of Registrations”
- Add the maximum number of pre-registrations you would like the form to accept - don’t forget to account for drop-outs/no shows!
If you have both criteria set-up on a form, whichever occurs first will cause the form to stop accepting registrations. E.g. if you have set the form to stop accepting pre-registrations a day before the event and capped it at 100 records, if you reach 100 records before the day before the event the form will stop accepting pre-registrations.
